Situation

Forcing Users to Archive Email.

Resolution

Auto Archiving email from an administrative point can be set at User, Post Office, or Domain level.
(This example is at the domain level, but the steps are the same regardless.)
1. In Consoleone, right click on the domain object and go to Groupwise Utilities | Client option.
2. When the Client Options window opens, Double Click on ENVIRONMENT.
3. The first thing to do is to specify a location for the archive to be located. Do this under the FILE LOCATION tab.
4. Click the CLEANUP tab.
5. Under MAIL AND PHONE select AUTO ARCHIVE and then set the days you want it to archive after.
6. If you want to archive appointments, notes and tasks, then repeat Step 4 for APPOINTMENTS, NOTES, and TASKS
7. By pressing the LOCK button next to these options, the user WILL NOT be able to change his archive location.  If it is unlocked the user will be able to modify the location of his archive.


Additional Information

Recommendations:
If you set a network storage area for the archives, that it may require significant hard disk space.  Archives can be very large and depending on the number of users, you may need a large drive to store them on.

If you specify a local drive for the users, the archive will be stored on the workstation they are logged into.  This may cause problems if the user uses more than one workstation, or if the user changes workstations.

Also, if users are already manually archiving their mailboxes, their archives location that is specified in their clients will be changed.  You will want them to unarchive their mail before this solution is implemented.
